Frequently asked questions

Where are my P3 payments listed?
  • Your P3 payments are listed under the event with which it’s associated:olam
  • If a P3 package is not associated with a specific event, it’s listed in under the Non-Event Activity Total section at the bottom of your statement:olam
How do I know what my profit is on a consumer order?
  • Every consumer order that has been shipped during the statement period is listed. The amount in the Net Total column displays your profit:olam
  • To help you determine how your profit was calculated, click on the “view breakdown” link located next to the Order Number: olam
How is my profit for a consumer order calculated?
  1. Basic calculation:
    Amount Consumer Paid
    - Consumer S&H
    - Consumer Tax
    - Consumer Rush
    - Pictage Commission
    - Wholesale Cost
    = Your Profit
  2. If a Photographer Gift Credit was redeemed on the order, then Your Profit is decreased by the Photographer Gift Credit redemption amount. The calculation is:

    - Consumer S&H
    - Consumer Tax
    - Consumer Rush
    - Pictage Commission
    - Wholesale Cost
    - Photographer Gift Credit

  3. If a Consumer Gift Certificate was redeemed on the order, you will receive a credit for the Consumer Gift Certificate redemption amount. The calculation is:

How do I determine whether I owe you or if I am owed a check at the end of my billing cycle?
  • Your Current Account Balance is in the upper-right hand corner of the Statement:olam
  • If your Current Account Balance is in black, Pictage owes you money and a check will be mailed to you 5 business days after the statement has closed.
  • If your Current Account Balance is in red, you owe Pictage and your credit card will be charged for the amount owed.
How much was my check for? When was it mailed?
  • In the Current Account Balance box…click on details next to the Payment(s) we made to you. You’ll see the mailing date and amount of your check. If no “details” link appears, then your check has not been sent yet.olam
How much was charged to my credit card?
  • In the Current Account Balance box…click on details next to the Transaction(s) on your credit card. You’ll see the date and amount charged to your credit card. If no “details” link appears, then your credit card has not been charged yet.olam

Your billing information

Billing Information
  • Your billing information on file at Pictage can be seen in the top left corner of your account statement (make sure you are on the Statements tab)
  • You can change the payee name or billing address any time by clicking on the edit links and updating your information.

Selecting the statement period

Statement Period
  • The statement dropdown menu defaults to the current period.
  • You can view closed statements by selecting a prior year and/or time period.
  • Note: if you have activity prior to August 2006, these statements will be displayed in the old account statement interface.

Activity summary

Activity View
  • The activity summary box in the top right corner gives you an overview for the statement period you are viewing.
  • Quickly check the period’s beginning balance, credit card charges and refunds, payments made to you, and the statement activity total.
  • Statements will begin with a positive or negative balance from the prior period. Then, either a profit check or credit card charge will appear at the beginning of the period to zero out the beginning balance carried over from the previous cycle.
  • Note: Click on the details link to see more information on credit card and check transactions.

Group by options

  • You have the option of viewing your statement activity grouped by Transaction Type or by Event. Choosing to Group By Transaction Type categorizes all your event activity into Consumer Orders, Studio Orders, and P3 Payments.
  • Choosing to Group By Event lets you see your statement activity organized by Event.

  • The activity view dropdown menu allows you to view your statements from different levels.
  • Use the Plus icon whenever you see it to expand a line and view more details.

Expand Activity is the default option for the activity view dropdown menu and lets you see your transactions grouped at the highest level within the selected billing period:

Expand Orders lets you quickly view which events have had studio orders and consumer orders shipped within the statement period:

Expand Events goes down one more level and provides your net total for each studio order and consumer order shipped within the statement period:

Understanding your consumer orders

  • For each consumer order in the statement, you will see the consumer’s name, date the order was placed, date the order was shipped, order number, revenue, expense and net profit for the order.
  • Clicking on the view breakdown link lets you view the details for your revenue, expenses and profit for the consumer order.
    Consumer Orders
  • Olam
    • Your Subtotal for the order is determined by taking the entire amount that the consumer paid, and then deducting the S&H, Tax and Rush fees.
    • The Pictage commission fee is then deducted from your Subtotal, as well as the wholesale cost for the order. The remaining amount is your Profit.
    • To see more details on the wholesale cost for the order, click on the view details link next to the product (in this case, Final Prints).

Printing your statement

  • Use the Print Page link to print out copies of your statements.
  • The statement will print out exactly as they appear on the screen.
  • If you want to print a fully expanded statement that contains all details, use the Activity View Dropdown menu to select Expand All before printing.

Exporting to Excel

  • You can export all data for the statement period by using the Export to Excel link.
  • The statement does not need to be fully expanded to export all statement data.

Reporting features

  • The Reports tab allows you to search, organize and analyze data from August 2006 to today.
  • Reports can be run based on a variety of criteria such as transaction type, transaction date, and transaction amount.
  • Search for transactions associated to a particular event or order.
Standard reports
Standard Reports
  • Use the Standard Reports menu to select the type of transaction to include in the report. You can search for all transactions or for specific types of transactions, such as Consumer Orders, Photographer Gift Credits, or P3 Payments.
  • The Event Type reports display transactions for all your events of that particular event type only (i.e. Wedding, Corporate, etc.).
  • The Consumer Orders – Event Total report provides the revenue, expense and net total at the event level.

  • Narrow your search results by date using the Date Range menu.
  • Enter your own start and end dates by selecting the Custom Date Range option.
  • Note: These reporting features and reports only include information from August 2006 to today. To view older information, select the Prior to August 2006 option and a new window will open with our old accounting interface.

 

Search by Order Number or Event ID

Search for all transactions associated to an Order Number or Event ID.

Advanced filters

Advanced Filters

The Advanced Filters link reveals additional search criteria options:

  • Event: Search for transactions within a specific event
  • Status: Display invoiced versus pending order transactions
  • Product/Service: Search for transactions specific to certain products such as Proof Prints, Albums, and Event Cards
  • Photographer: Search for transactions specific to a certain photographer in your studio
  • Amount Range: Search for transactions within a specific amount range
Search results
  • After all your search criteria has been chosen/entered, click on the Run Report button to display the results.
  • The results are displayed on the same page and can be sorted by clicking on the column headings.
  • In addition, these results can be printed and exported to Excel for further analysis.

Account Summary

  • The Account Summary report shows you, at a quick glance, your Consumer Order Profits, Studio Orders, P3 Payments, and Non-Event Activity totaled by calendar month.
  • Included in the Non-Event Activity total are transactions such as service plan fees, service plan promotions, and Directory listing fees.

  • The Tax Reports tab allows you to download your account data for a selected year
  • Your transactions have been separated into three reports:
    1. Orders Report
    2. Service Fees Report
    3. P3 Report
  • The combination of these three reports provides the data needed to fill out tax returns
