Releasing your event serves several key purposes:

 

  • Makes the event available to your owner and/or their guests/public

  • Allows guests to purchase products online (start generating event revenue)

  • Allows guests to share photos and create favorites folders

  • Allows guests to participate in Pictage sponsored product promotions and all relevant event communications

  • Sends designated Gift Credit via email to all pre-registered guests (if selected)

  • Starts the 2-for-1 Prints Promotion offer (if selected)

Get Started

  1. Log in to your Pictage Studio Homepage
  2. Select the Event you would like to release and click on the Event Title
  3. If the event status is “Photographer is Editing”, select the Release to Owner button in the Current Status window at the top of the event home pageRelease Button
  4. If the event is in a different state and the Release to Owner button is not available, select the (Re)Release/Extend Event link in the left navigation menu of the event home pageRe-Release Link

Release Event Button

On the Release Event page is a summary of event information made at time of scheduling the event, as well as pre-set Release Settings

  • If no changes are necessary, simply click the RELEASE EVENT button to make the event available online.
  • If you click Cancel, the Release Event page will close, your event will NOT be released and you will be returned to your Studio Home Page. Release Event Button

Event Summary

If you want to review your Event information prior to releasing the event, The Event Summary includes four areas of concentration:

  • Guest List Manager
    - Manage pre-registered guests by adding or removing  email addresses prior to release
  • Event Details Summary
    - Edit the event Type, Title, Location, Date, Photographer, and Catalog
  • Owner(s) Summary
    - Edit the event Owner(s) by adding or removing emails or adjusting their role in the event
  • Event Settings Summary
    - Edit Registration Settings from time of event Schedule
    - Edit Release Settings, currently defaulted to Pictage Best Practices

Guest List Manager

Guest List

Market your event prior to release! This valuable tool allows you to:
  • Review the number of guest who have pre-registered*
  • Audit the guest list. Make sure those invited to view the event are indeed friends and family
  • Add Guests
  • Remove Guests

 

NOTE: All pre-registered guests receive the Pre-Registration Credit (if offered at time of event scheduling), the risk-free incentive which boosts overall event revenue, on average, 30% If you release your event to the Owner(s), they will have an opportunity as well to add pre-registered guests prior to releasing the event to the public.

*Pre-registered: guests who enter their email address prior to the event images being posted online, allowing for automatic notification when event is released  

How to Access Guest List
  1. Click +Add/Edit Guests to access the Guest List

How to Add Guests
  1. Enter email address(es) in the text box provided
    - Must separate emails addresses by commas, spaces or returns
    - Email must be in a valid format  with @ and extension (e.g. scott@pictage.com)
    - There is no limit to the number of emails you can add
  2. Click the ADD button
  3. A yellow confirmation box will appear, stating how many guests have been added
  4. The pre-registered guests amount will refresh to the new amount now included in the guest list:Guests Added
How to Remove Guests
  1. Find the email address of the guest you would like to remove
  2. Check the box next to the email address
  3. Click the Remove Selected button
  4. A yellow confirmation box will appear, stating how many guests have been removed
  5. The pre-registered guests amount will refresh to reflect the change
  6. Select/Deselect All link allows you easy selection of all guests for quick management Remove Guests

Event Details Summary

  1. Click edit to access and update the Event Details prior to release (Type, Title, Location, Date, Photographer, and Catalog)Edit Details

Owner(s) Summary

  1. Click edit to access and update the Owner(s) Details prior to release Edit Owners
  2. Clicking Remove (X) will erase the original Owner email and all corresponding information entered, and allow you to re-enter an email address in the "Owner email" field.
    - Tip: if you misspell the email address, click Remove (X) to begin again.
    - Tip: if the name is misspelled, contact Photographer Support to correct it. Remove Owners
  3. Click UPDATE EVENT on the “Event Information-Edit” page to save changes
  4. Refresh the “Event Information: Release Event” page to see updates

Event Settings Summary

Event Settings Summary houses Registration Settings (set at time of event scheduling) and Release Settings (currently pre-set to Pictage Best Practice defaults).

  • By clicking edit, you can review and adjust settings on a per event basis.Event Settings

Set at time of event scheduling, the Registration Settings include:

  • Event Key
  • Pre-registration Credit*
  • Sample EventSettings
  1. Click UPDATE EVENT on the “Event Information-Edit” page to save changes you have made
  2. Refresh the “Event Information: Release Event” page to see updates

*Pictage Best Practice Tip: Boost event revenue 30% - Add emails to the guest list to increase pre-registered guests count, an offer at least a $5.00 pre-registration credit prior to releasing the event.

Release Settings are pre-set to Pictage Best Practice defaults, and include:

  • Event Duration
  • Release this Event to
  • Send Notification Email
  • 2-for-1 Prints Promotion

1. Event Duration

Select the amount of time you’d like the event to be available online from the drop-down menu.

Pictage Best Practice: 3 Months
- Creates a sense of urgency that helps drive sales
- Best used in combination with 2-for-1 Prints Promotion

Select who gets to view the photos first; your owner or both your owner and their guests (general public).

Pictage Best Practice: Release to Owner
- Can generate up to 40% more revenue per event.
- Allows owners to add guests to the guest list (pre-register guests) which promotes greater sales
- Allows owners additional time to build favorite folders for their guests which promotes greater sales
- Owner will be responsible for releasing the event to the public

3. Send Notification Email

E-mail notification of event availability will be sent to event owner and all addresses in the event Guest List (which includes pre-registered, photographer and owner entered guests).

- Always notify guests of initial event release to drive immediate excitement, traffic and sales.
- When re-releasing an event, use this feature and select NO if you don’t want an email triggered again.

4. 2-for-1 Prints

Offer a second set of prints FREE with every print order for you, your clients and their guests. Pictage pays for the second print so the offer costs you nothing.

Re-release/Extend Event

If you need to make updates to Event Settings after the event has been released, or if you simply want to extend the duration of the event, you will need to re-release the event for those settings to apply.

Access
  1. Log in to your Pictage Studio Homepage
  2. Select the Event you would like to re-release or extend and click on the Event Title
  3. Select the (Re)Release/Extend Event link in the left navigation of the event home pageReRelease
  4. Follow the same release process as illustrated above, making the necessary updates.
