Pictage offers three ways to submit your events:

 

  • All-in-one-tool – Includes upload + event submission in one handy tool

  • 3rd Party FTP* – Upload with 3rd party software then return to Pictage to verify and submit event online

  • Mail-In submission* – Mail your CD/DVD/Hard Drive and/or film with printed submission form

Please note: When submitting digital files, it is important that your monitor is properly calibrated to Pictage settings AND your computer is hard wired (not connected through wireless router) for image transfer.

All-in-One Tool

About All-in-One Tools:
  • Images posted on Pictage within 24 hours of completed submission
  • Edit, organize, upload and submit the event all within one tool
  • The tool with automatically process the event submission, provide an order number, and then send you an e-mail confirmation.
  • The tool is a one time software download to quickly utilize from your desktop for every event submission moving forward

Submitting your event with a tool:
  1. Edit and prepare your event
  2. Click on Upload Event from your tool
  3. You will not need to submit the event on Pictage. Your tool will automatically process the event submission, provide an order number, and then send you an e-mail confirmation.

Note: After submission, the status of the event will remain "Event is calendared" on your studio home page. If you have submitted the event and received a confirmation, do not submit the event again. You will receive an e-mail as soon as the event is online (within 24 hours) and the event status will change to "Waiting for photographer to edit event".

3rd Party FTP

Submit

About 3rd Party FTP:
  • Images posted on Pictage within 24 hours of completed submission
  • Use the FTP program of your choice to upload
    • FTP stands for File Transport Protocol and is a way to transfer images from one computer to another. Note: FTP should not be attempted with dial-up.
    • FTP user name and password provided upon creation of your account
    • Forgot your FTP password? Select My Profile from your Studio Home Page to change FTP password
  • Files/Folders must be prepared properly to be accepted by Pictage
  • After completing image upload into your event FTP folder, access the event from your studio home page and click Submit Event
    • Verify the amount of categories/images placed in FTP folder (see screenshot below)
    • Select image handling options

Submit

Submitting Events using a 3rd Party FTP Program

Once the image upload/transfer is completed by using your 3rd Party FTP Program, you must submit your event so it will be posted online.

  1. Go to the event home page by clicking on the Event Title found on your studio home page
  2. Click Submit Event
  3. On the Event Submission page, click Submit in the “If you uploaded with a 3rd party FTP software” Box
  4. The submission page confirms the categories (if any) and the number of images we have received from you (number of images placed in your FTP folder for the event)
  5. Verify this amount by checking the box under the Total
  6. Select your color correction option
    • Note: We no longer accept RAW files. Please make sure all images are JPGs. Please contact our partner, www.shootdotedit.com for these services
  7. If the event is a wedding, bar/bat mitzvah, select if you would like Pictage to Categorize your images.
    • Note: There is no additional cost for this service
  8. Select the sequence of how you would like your images placed online
  9. Click Submit Event
  10. Review order confirmation. Please take note of your event submission order number. You will receive an e-mail confirmation as well.

Note: After submission, the status of the event will remain "Event is calendared" on your studio home page. If you have submitted the event and received a confirmation, do not submit the event again. You will receive an e-mail as soon as the event is online (within 24 hours, excluding weekends and holidays) and the event status will change to "Waiting for photographer to edit event".

Image Treatment

Two selections available:

  • FREE Color Correction – By having Pictage color correct your images at time of upload at no charge, you can enjoy greater long term benefits including applicable proof product orders with the same color correction. Learn more.
  • No Color Correction – Select this option if you do NOT want FREE color correction (WYSIWYG)
  • Note: Pictage no longer converts or manually color corrects RAW or JPG files. Please contact our partner, www.shootdotedit.com for these services.
Categorization

Three selections available for Wedding, Bar/Bat Mitzvah events:

  • I want Pictage to categorize my images - Pictage will categorize the images into 5 standard categories: Preparation, Ceremony, Portraits, Group Formals, Reception. 5+ Categories can generate up to 25% more revenue. Learn more.
  • Use the categories I have provided – Pictage will categorize the images with the categories you provided in the FTP folder
  • Do not categories – You know your clients best. We highly recommend you create specific categories to suit the event you shot. All other event types will be categorized if categories are uploaded by photographer at time of event submission.
Sequencing

Sequencing refers to the placement of images online. There are two selections available:

  • By Filename (alphanumerically) *
    • Images will be renamed and posted in sequential order on Pictage starting with 1, 2, 3…
  • By date and time picture was taken (EXIF information from camera)*
    • Images will be renamed starting with 1, 2, 3 but will be resorted and posted online by date and time the picture was taken.
      • Therefore, image 1 may not be the first image you see when you access your event.
    • If EXIF information from camera was not available, images will be posted by filename
    • Great option for multiple shooters
    • Great option for add to event (added image can be inserted properly by date and time)
      • ALL images submitted for an event must have EXIF data to be sorted by date and time properly. Therefore if you ADD to an event that current did not have date and time stored (prior to the new submission page release), these new images will be sorted by filename

* You have the option to “Arrange by Filename” or “Arrange by Date and Time” once the event is posted by accessing this feature in your event PicEditor. Click the Image Sequence icon and then select which sequence you prefer. These sequence selections will only apply to ALL images, and will not apply to individual categories. You can reposition individual images by category by dragging and dropping into the desired position. Click SAVE CHANGES when finished.
Submit

Rotation

Images will now be automatically rotated using he EXIF data from your camera. You will not longer be asked if you’d like rotation at time of submission, but you can always access and apply rotation after the event has been posted.

Mail-in Full-Service Submission

  • Images posted on Pictage within 3-6 days of completed submission
  • Submit CD/DVD/Hard Drive and/or Film
Submit CD/DVD via Mail

Step 1: Files/Folders must be prepared properly to be accepted by Pictage

Step 2: Submit Event

  1. Go to the event home page by clicking on the Event Title found on the studio home page
  2. Click Submit Event
  3. On the Event Submission page, click Continue in the “Mail Pictage Your Images” box
  4. Review the guidelines and click Continue
  5. Enter the number of CDs or DVDs and the total number of images on each disk
  6. Select your color correct option
  7. Note: We no longer accept RAW files. Please make sure all images are JPGs. Please contact one of our partners including www.shootdotedit.com, www.photographersedit.com, www.editteam.com and www.silverbackimaging.com or view member discounts for additional partner deals and discounts for these services.
  8. Select if you would like Pictage to categorize and sequence your images. There is no additional cost for these services
  9. CDs/DVDs are not returned to you
  10. Select the Submit button when you have completed the form
  11. Use the Order Summary page to review your order. If anything is incorrect, you can go back and make changes. When everything is accurate, click the Submit This Order button
  12. Print out this page and send it in with your CD/DVD to the address listed in Step 3. Note the order number. You will receive an e-mail confirmation.

Note: After mailing your submission, the status of the event will remain "Event is calendared" on your studio home page. If you have submitted the event and received a confirmation, do not submit the event again. You will receive an e-mail when your CD/DVD has been received and another one when the event is posted online. At this point, the event status will change to "Waiting for photographer to edit event".

Step 3: Mailing Us Your Event

Submit Hard Drives via Mail

Step 1: Files/Folders must be prepared properly to be accepted by Pictage

Make sure the exact number of images on the hard drive matches the event submission form. Prepare your digital images and event files/folders:

  • Only jpg image files are accepted on hard drive submissions – all other files will be deleted
  • Event folders must be the first thing that shows up on the hard drive
  • No subfolders other than categories
  • Correct numbering of events, files (using the Pictage standard 4-digit system) and folders
  • File size should be at least 300KB but preferred if they are over 1,000KB
  • Note: If the hard drive does not meet these requirements the hard drive will be sent back to the photographer

Step 2: Submit Event

Follow same submission guidelines as Submit DVD/CD via mail. Same posting criteria applies.

Step 3: Mailing Us Your Event

Mail your hard drive and completed form to the address listed below

  • We can only accept hard drives no larger than 250GB.
  • All MAC or WINDOWS HDs must be formatted to FAT32.
  • All cables need to be sent with the hard drives.
  • If more than one hard drive is shipped, please number the hard drives.
  • We suggest you use a pelican or hard case to ship your hard drive in order to keep it from getting damaged in the mail
  • Please make a backup of the images prior to sending your hard drive, as Pictage is not responsible for lost hard drives through the mail
  • Send the submission form and hard drive/cables to:

Submit Film via Mail

Step 1: Choose a Method

There are two ways to submit film to Pictage:

  • Method 1: Send processed film in uncut rolls, strips or frames
  • Method 2: Send unprocessed film to be processed at our processing lab partners, A&I Color Lab and Pro One (click here for Film Processing information)
    • Separate the film by type and use separate containers
    • Print out the Film Processing Worksheet located on the Event Submission Form. Please fill out this form and send it in with your film. Failure to include this form may result in a delay in film processing
    • If you shoot infrared film, the lab needs to know the ASA with which the film was shot and whether a filter was used. Wrap your infrared canisters with foil or black tape to distinguish them from other film types

Step 2: Sequencing Your Film

If you would like Pictage to scan and upload your film in the order in which it was shot, you must number your film according to the following guidelines (no other method will be accepted for sequencing):

  • Film must be clearly numbered, starting with "1" (being the first roll of the event)
  • Mark film approximately 1 inch above the first exposed negative on the roll, either directly on the film with a permanent marker or on a white sticker glued to the film
  • Film being submitted for processing must be marked directly on the film cartridge (not on film containers) either with permanent marker or on a white sticker attached to the film canister
  • If you shoot with multiple camera bodies you must judge which film goes first in the sequence
  • Images can be categorized and re-sequenced (though not renumbered) after upload in online editing. You may also request to have Pictage categorize your images during upload

Step 3: Submit Event

Follow same submission guidelines as Submit DVD/CD via mail. Same posting criteria applies.

Step 4: Mailing Us Your Event

Send the submission form, Film Processing Worksheet (for unprocessed film) and the film to Pictage at:

Adding Images to an Event

Adding digital images to the event involves these steps:

  1. Prepare a folder (again named with only the event ID number) containing the new image files
  2. If you uploaded using an All-in-one tool, simply upload and submit your event when prompted in the tool
  3. Otherwise, FTP your folder using a 3rd Party FTP Program.
    1. From your studio home page, click on the event title to go into the event
    2. Click on the Add to Event link (in the lower left navigation window)
    3. Click Submit in the “If you uploaded with a 3rd party FTP software” box
    4. Follow the steps as you did for your initial 3rd Party FTP submission

If you want to add film images or images from a disc:

  1. From your studio home page, click on the event title to go into the event
  2. Click on the Add to Event link (in the lower left navigation window)
  3. Click Submit in the “Mail-Pictage Your Images” box
  4. Fill in the information, print your confirmation page and send it with your disc or film.

 

Added images will be numbered sequentially at the end of the event. Pictage can accept up to 9,999 images per event. You will not be able to add more than this amount to an event and will need to submit a new event for the remaining images.

 

Note: Your images will be submitted for the same correction or sequencing as your original submission (Standard or Color-Correction). Once the images are posted online, the status of the event will go back to "Waiting for photographer to edit event". If the event has previously been released to owner or public, you will need to release the event again after new images are added.

 

Replacing Images in an Event

Using the Pictage Upload Tool (PUT)
  1. Launch PUT or download if you do not have it installed.
  2. Select the “Replace Image(s)” button.
  3. Follow the on-screen instructions in PUT.
Using FTP or Digital Express Client (DEC):
  1. To insure that the correct image(s) is replace, name the replacement file(s) according to the Pictage image number assigned online. For example, image 1 online needs to be named 0001.jpg, image 101 would need to be named 0101.jpg. No other naming structure can be used for replacement images.
  2. Place all replacement images in a folder titled : eventID_replace (Ex: 123456_replace) and upload the folder via FTP or DEC “Upload Event Only” to Pictage. Do not submit an “add to event” submission on Pictage.com. Simply upload the eventID_replace folder.
  3. After the folder is uploaded, please complete the Photographer Support Form with your request for image(s) replacement. Make sure to provide your studio (FTP) ID and the event number in the email

Note: Once the images are replaced online, the status of the event will go back to "Waiting for photographer to edit event". If the event has previously been released to owner or public, you will need to release the event again after new images are added.

Copying Images from One Event to Another

Send an e-mail to Customer Service at help@pictage.com requesting that the images be copied from one event (provide the event number and roll number) into another (provide the event number)

  • Images must be copied into an existing event, which contains at least one image
  • Copying from one event to another costs $10 per event being copied
  • Images can only be copied by:
    • The whole event
    • Specific roll numbers (assigned for images scanned from film, or images loaded from CDs/DVDs)
  • Customer Service will notify you when the images have been copied
  • The images will be copied into the event, numbered sequentially at the end, and placed in "To Be Categorized" status.

 

Note: Once the images are replaced online, the status of the event will go back to "Waiting for photographer to edit event". If the event has previously been released to owner or public, you will need to release the event again after new images are added.

Downloading the Pictage Upload Tool to use as FTP program

  1. Download the Pictage Upload tool to use as an FTP application, which is free and works on both Mac and PC platforms.
  2. Read the notes, system requirements, and installation instructions to download and install PUT.

 

Downloading 3rd Party FTP Program

  1. Visit www.download.com to download an FTP program.
  2. Note: Many of these programs are available for free for a trial period. Suggested programs:
    • For a PC: WS FTP Pro, Cute FTP Pro
    • For a MAC: Transmit FTP, Fetch FTP
  3. Launch your FTP program and Log in to your Pictage FTP account with the following 3 key pieces of information:
    1. Host/Domain (ftp.pictage.com)
    2. Login (your studio ID, which is photographer initials followed by 3 numbers) - (make sure the letters are lower case)
    3. Password (provided in your Welcome to Pictage e-mail) (case sensitive)
    4. For example:
      • Host/Domain — ftp.pictage.com
      • Log in: xx001
      • Password: pictures
  4. Locate event folder on the left side of the FTP program window (or on your desktop).
  5. Drag and drop the event folder into FTP Incoming Folder.
  6. FTP is now in process.
